Cancellation Policy and Procedure

1. Purpose  

To ensure the efficient operation of our clinic and to respect the time of both our therapists and clients, we have implemented a cancellation policy. This policy helps us accommodate the needs of all clients and maintain the high standard of care we are committed to providing.  

2. Cancellation Policy  

We understand that unexpected circumstances may arise. However, to avoid disruption to our scheduling and to be fair to all clients waiting, we require a minimum of six (6) hours' notice for the cancellation or rescheduling of appointments.  


3. Cancellation Procedure  


3.1 Notification Requirements 

3.1.1 Client Cancellations 

Clients must notify us of their intent to cancel or reschedule an appointment at least six (6) hours prior to the scheduled appointment time.  

Preferred Method: Clients are encouraged to call the appointment location, text directly at 0404 859 894 or email natalie@nourishedmassage.au to ensure timely communication.   
Alternative Method: If clients are unable to reach us via phone or email, they may leave a voicemail or send a text message.  


3.1.2 Therapist-Initiated Cancellations 

If the therapist must cancel an appointment due to unforeseen circumstances, the client will be notified as soon as possible.  

Apology and Discount: As an apology for the inconvenience, clients who reschedule their appointment at the time they are informed of the cancellation will receive a 10% discount on the rescheduled session. 

Conditions: The 10% discount is only available if the client reschedules at the time of notification and cannot be applied retroactively.  


3.2 Late Cancellations 

Definition: Cancellations made less than six (6) hours before the scheduled appointment time.  

3.2.1 Fee Structure 

A cancellation fee equal to 50% of the scheduled treatment cost will apply.  

3.2.2 Exceptions

In cases of emergencies or unforeseen circumstances, the cancellation fee may be waived at our discretion.  


3.3 No-Shows 

Definition: Missing an appointment without any prior notification.  

3.3.1 Fee Structure 

No-shows will incur a cancellation fee equal to the full cost of the scheduled treatment. 

3.3.2 Recurrent No-Shows 

Clients with repeated no-shows may be required to prepay for future services or may be discharged from the clinic.  

3.3.3 Payment of Fees  

Cancellation fees will be applied to the client’s account, and invoice sent for payment at the clinic’s discretion. 

3.3.4 Exceptions

Emergencies and unforeseen situations may arise. If a client believes they have a valid reason for a late cancellation or no-show, they are encouraged to discuss the matter with us. Each situation will be reviewed on a case-by-case basis, and fees may be adjusted or waived as appropriate.

4. Policy Review  

This policy is subject to periodic review and may be updated as necessary.

Cancellation Policy and Procedure

1. Purpose
To ensure clarity and fairness in the use of gift vouchers, we have established the following terms and conditions. 

These guidelines are designed to maximise the benefit to and satisfaction of our clients while maintaining the smooth operation of services.

2. Gift Voucher Use

2.1. Validity

  • Gift vouchers are valid only for the treatments or services listed on the voucher or as specified in the promotional offer.
  • The expiry date of the voucher is clearly indicated and must be redeemed before this date. Expired vouchers will not be accepted.

2.2. Booking Appointments

  • To redeem a gift voucher, recipients must schedule an appointment in advance by contacting our clinic directly.
  • When booking, recipients should inform us that they will be using a gift voucher to ensure proper application of the voucher value.

2.3. Partial Use

  • If the value of the gift voucher exceeds the cost of the treatment, the remaining balance will be added to the client file as a credit note. Gift vouchers cannot be redeemed for cash.

2.4. Multiple Vouchers

  • Only one gift voucher may be used per appointment unless otherwise specified in the terms of the voucher promotion. Multiple vouchers cannot be combined for a single appointment or service.

1. Loyalty Rewards Card

1.1. Earning Rewards

  • Clients will receive a stamp on their loyalty rewards card for each completed visit to our clinic. 
  • A visit is defined as a completed appointment.
  • After ten (10) completed visits, clients will be awarded a 30-minute credit that will be added to their next booked appointment.

1.2. Redemption

  • The 30-minute credit must be used within six (6) months of earning it. The credit cannot be redeemed for cash or used for future appointments beyond the next scheduled session.
  • The credit is applied to the next booked appointment and cannot be used as a stand-alone session.

1.3. Card Loss or Theft

  • Clients are responsible for safeguarding their loyalty rewards card. Lost or stolen cards will not be replaced, and rewards cannot be retrospectively applied.


2. Anniversary Certificates

2.1. Eligibility

  • Each year, in honor of the anniversary of a client's first visit with Nourished Massage, clients will receive a 30-minute credit to be added to their next booked appointment, provided they have not been discharged from our services.

2.2. Redemption

  • Clients must inform us of the anniversary certificate’s intended use at the time of booking their appointment. The 30-minute credit will be applied to the next scheduled appointment.
  • The certificate must be redeemed within six (6) months of issuance. It cannot be redeemed for cash or used for future appointments beyond the specified period.

2.3. Discharge Policy

  • If a client is discharged from our services, they will not be eligible for the anniversary certificate for that year. 

2.4. Non-Transferable

  • The anniversary certificate is non-transferable and can only be used by the client to whom it was issued.


3. Referral Rewards

3.1. Earning Rewards

  • Clients who refer new clients to our clinic will receive 10% discount to be added to their next booked appointment after the new client attends their first visit and is considered a successful referral. 

3.2. Redemption

  • Only 10% applied per appointment. Discount cannot be combined or stacked for a single session, however the discount will be applied per successful referral. 

3.3. Referral Verification

  • To qualify for the referral reward, the new client must mention the referring client's name at the time of booking and attend their appointment. Rewards are not applied retroactively.

3.4. Non-Transferable

  • Referral rewards are non-transferable and can only be used by the referring client. They cannot be redeemed for cash or applied to past or future appointments beyond the stated conditions.


4. General Terms

4.1. Changes to Terms

  • We reserve the right to modify these terms and conditions at any time. Any changes will be communicated to clients and will take effect immediately upon posting.

4.2. Legal Rights

  • These terms and conditions do not affect your statutory rights. If any provision of these terms is found to be invalid, the remaining provisions will continue in full force and effect.
